Direct billing means WellCare Medical sends the claim for your treatment straight to your insurance company, so you do not pay the full amount and wait to be reimbursed. At our Bradford clinic we bill most major extended health insurers directly for physiotherapy, chiropractic care, massage therapy and acupuncture. Custom orthotics are the exception: you pay for them at the clinic and submit the claim to your insurer yourself. This page explains how it works and what to bring.
Direct billing, step by step
- Before your first visit. Have your insurance details ready: the name of the insurer, your policy or group number and your member ID. If you are covered under a spouse's or parent's plan, we also need the plan member's name and date of birth.
- At the clinic. Our front desk enters your details and, where the insurer allows it, checks your coverage.
- After each treatment. We submit the claim electronically on your behalf.
- What you pay. You pay only the part your plan does not cover, if there is one.
What your plan may or may not cover
Every plan is different. Things that commonly affect what you pay:
- Annual maximums. Most plans set a yearly dollar limit for each type of practitioner, for example a separate amount for physiotherapy, chiropractic and massage therapy.
- Percentage covered. Some plans pay 100 per cent of each visit and others pay 80 per cent or less.
- Per-visit limits. A plan may cap how much it pays for a single appointment.
- Deductibles. You may have to pay a set amount each year before coverage begins.
- Referrals. Many plans require a doctor's referral for physiotherapy, massage therapy or orthotics. Chiropractic care can be booked without one.
- Plan year. Limits reset on a date set by your plan, which is not always January 1.
If you are unsure, call the number on your benefits card or check your plan's member website. We are also happy to help you find out.
Insurance companies we bill directly
We work with most major extended health insurers in Ontario, including Sun Life, Manulife, Canada Life, Desjardins, Blue Cross and many more. See the full list of insurance providers we work with. If yours is not listed, call us at (365) 247-0440 and we will check.
Covered by two plans?
If you have coverage through your own plan and a spouse's plan, tell us about both. Claims go to your own plan first, and the remaining balance can usually be claimed from the second.
After a car accident: what changes
Treatment for injuries from a motor vehicle accident is claimed through the accident benefits in your auto insurance. Under policies issued or renewed on or after July 1, 2026, the auto insurer pays first and your work benefits are kept for other care. Under older policies your extended health plan is used first, if you have one. Our team prepares the forms and deals with the insurer for you. See car accident rehabilitation.
If you do not have insurance
You do not need insurance to be treated here. Our private billing packages are designed to keep care affordable when you are paying yourself.
Using benefits from work
Most people's coverage comes through an employer. Our page on using your work benefits explains how to get the most from them, and what to do when your coverage is running low near the end of the plan year.
What to bring to your first appointment
Your benefits card or policy details, a piece of ID and any doctor's referral your plan requires. Our page on patient intake forms lists everything that is useful to have with you. To book, call us or send a message.
Common questions about direct billing
Is there an extra charge for direct billing?
No. Direct billing is a service we provide at no additional cost.
What if my insurer does not allow direct billing?
A small number of plans only reimburse the plan member. In that case you pay at the clinic and we give you a detailed receipt to submit yourself.
What happens if my claim is declined?
We will tell you the reason the insurer gave and what your options are. You remain responsible for the cost of treatment your plan does not cover.
Do you need my insurance details before I book?
No. You can book first and bring your details to your appointment.
